Privacy Policy
RMDW LLC. How we handle information on rmdw.ai, in Kiyomi Office, and in the work Kiyomi does for our clients. Effective October 7, 2026.
Who we are
RMDW LLC (“RMDW,” “we”) is a company in Decatur, Georgia. We build websites for small businesses and run Kiyomi, our AI office manager, for the businesses on our plans. Kiyomi is an AI, not a person. This policy covers rmdw.ai, Kiyomi Office (office.rmdw.ai), and the calls, texts and emails Kiyomi handles. Questions: support@rmdwllc.com.
What we collect
- Website forms. When you ask for a free preview, claim your site, book a call, or contact us: your name, business name, email, phone number, current website, and anything you tell us.
- Client accounts in Kiyomi Office. The owner’s name, email and mobile number, the business details, the services picked, and the records the business keeps there, like customers, leads, estimates, invoices, review requests and messages.
- Calls Kiyomi answers. For a business that uses call answering, Kiyomi answers its calls, and callers hear that the call may be recorded. We keep the recording, a transcript, and a short summary (like the caller’s name, number, and what they need) so the business can follow up. Kiyomi calls a lead back only when that person agreed to a call on the business’s form.
- Setup calls to our clients. If you agree when you sign up, Kiyomi calls you to set up your account and asks about your business, like your services, prices, hours and service area. These calls are recorded and transcribed, and your answers fill in your account.
- Payments. Payments are processed by Stripe. Stripe tells us the plan, the amount, and whether a payment went through. We never see or store your full card number.
- Text messages. If you text Kiyomi or agree to get texts, we keep your number, the messages, when they were sent, whether they were delivered, and your consent or opt-out.
- Site visits. Like most websites, rmdw.ai uses cookies for analytics and to measure our ads. See our Cookie Policy.
How we use it
- To build and run your website and the services you pick.
- To answer calls, follow up with leads, send estimates, invoices and reminders, and ask for reviews, for the businesses that use Kiyomi.
- To send you account messages, reports, receipts, and support.
- To bill your plan.
- To keep the service secure, stop abuse, and meet our legal duties.
- To improve our services.
We do not sell personal information.
Information we handle for our clients
When a business uses Kiyomi, the information about its customers (callers, leads, invoices and messages) belongs to that business. We handle it for the business, to do the work it asked for. If you are a customer of one of our clients and have a question or request about your information, contact that business, or email support@rmdwllc.com and we will help.
Service providers we use
We use service providers to run the service. Each one gets only the information it needs to do its part.
- Website hosting and databases
- Payment processing (Stripe)
- Email delivery
- Phone and texting carriers and messaging providers
- AI voice providers, which answer and place calls and turn speech into text
- AI model providers, which help Kiyomi read, write and summarize
- Analytics and ad measurement (see our Cookie Policy)
We may also share information when the law requires it, or to protect people’s safety or the security of the service.
Text messages (SMS)
Kiyomi by RMDW texts business owners who are RMDW clients about their account: answers to their requests, a check with them before anything goes to a customer, shift reports, and updates from the RMDW team. Owners opt in by entering their mobile number and checking the consent box (it starts unchecked) when they sign up or in their Kiyomi Office account, or by texting Kiyomi first. A business that uses Kiyomi may also text its own customers through Kiyomi, and only customers who agreed to get texts from that business.
- Message frequency varies.
- Message and data rates may apply.
- Reply STOP to opt out at any time. You get one text confirming it, and no more texts after that. Reply HELP for help, or email support@rmdwllc.com.
- Saying yes to texts is not a condition of buying anything.
We do not sell or share your mobile phone number or SMS opt-in consent with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except the aggregators and providers of text message services.
Texting terms are also in our Website Plan Terms.
How long we keep it
We keep information while your account is open and as long as we need it to run the service, settle disputes, and meet legal, tax and accounting rules. When we no longer need it, we delete it. We keep a record of a STOP so we never text that number again by mistake.
Deleting your information
You can ask us for a copy of your information, to correct it, or to delete it. Email support@rmdwllc.com from the email on your account, or tell us the phone number your request is about. We confirm the request and tell you when it is done. We may keep what the law requires us to keep, like payment records, and a record of your opt-out.
Security
We protect information with reasonable safeguards, like encrypted connections, sign-in codes, and access only for the people who need it to do their job. No system is perfectly secure, so if something ever happens that affects your information, we will tell you.
Children
Our services are for businesses and are not directed to children under 13. We do not knowingly collect information from children under 13. If you believe a child has given us information, email support@rmdwllc.com and we will delete it.
Changes to this policy
If we change this policy, we post the new version here with a new effective date, and we tell clients by email when a change is significant.
